The Schwebel Baking Company is seeking an HR Administrative Assistant to support the Human Resources department and employees by performing a wide range of administrative and HR‑related tasks. This role plays a key part in employee relations, recordkeeping, recruiting, onboarding, orientations, and general HR operations. The position also provides front‑desk coverage, assisting incoming visitors, vendors, candidates, customers, and employees. We are a unionized bakery.

The ideal candidate is organized, detail‑oriented, dependable, and committed to delivering excellent customer service.

This position is full time Monday – Friday 8am -430pm.

Essential Job Functions
•           Ability to maintain focus and attention to detail in a busy office environment with frequent                          interruptions.
•           Maintain and update confidential employee records and files.
•           Perform and provide administrative support to HR as needed, including scanning, filing, data                    entry, and document management.
•           Order office supplies.
•           Assist with compliance efforts related to federal and state employment laws and company                        policies.
•           Ability to communicate clearly and professionally.
•           Support hourly union recruitment, onboarding, and orientations, collaborating with HR                                Generalist, Plant Manager, and Operations Management.
•           Partner with the HR Generalist on HR initiatives, employee relations matters, assist with                            attendance tracking, and departmental projects.
•           Answer and route incoming phone calls professionally.
•           Provide front desk coverage, greeting and assisting employees, visitors, vendors, and applicants.
•           Manage visitor check-in procedures and ensure proper documentation.
•           Process incoming and outgoing mail.           
•           Perform other duties as delegated by the HR Generalist and Plant Manager.

Specific Responsibilities Relating to Food Safety, Legality and Quality

         Support onboarding processes, including ensuring new hires understand GMP (Good                                Manufacturing Practices) and all required food safety and facility policies.
•           Support HR processes that reinforce compliance with company food safety, legality, and quality                standards.
•           Ensure visitors, vendors, and contractors follow required food safety and facility entry protocols.
•           Assist in communicating food safety, legality, and quality expectations to employees, including                  distributing updates or policy changes.
•           Support documentation needs for regulatory, customer, and thirdparty audits by maintaining                    accurate HR files and training documentation.
•           Help ensure staffing decisions support compliance with food safety and quality requirements.

Minimum Qualifications
•           High school diploma or equivalent.
•           Prior HR Administrative or Talent Acquisition experience preferred.
•           Strong organizational skills and exceptional attention to detail.
•           Proficiency in Microsoft Office (Word, Excel, etc.) and comfort working with databases and HR                  software systems.
•           Excellent written and verbal communication skills.
•           Ability to maintain confidentiality and handle sensitive information appropriately.
•           Strong customer service skills, including professional phone etiquette.

Physical Requirements (with or without reasonable accommodation)
•           Ability to remain in a stationary position for extended periods while performing desk and                            computer work.
•           Ability to move about the office to access files, equipment, and interact with employees and                      visitors.
•           Ability to lift, carry, or move up to 20 pounds occasionally (e.g., files, office supplies, onboarding                materials).
•           Ability to operate standard office equipment such as computers, phones, copiers, scanners, and              printers.
•           Ability to follow all facility safety, GMP, and hygiene requirements when entering production or                  restricted areas.
